How I look after your information.
Coaching depends on trust, and that includes how your personal information is handled. This notice explains what I collect, why, how I keep it safe, and the choices you have.

Who I am
I’m Esther Raphael, a nervous system coach working under the name Esther Raphael, PCC. I’m responsible for your personal information (the “data controller”). You can contact me at esther@estherraphael.com. ICO registration number: .
What I collect
- Contact and booking details: your name, email address and any details you share when you book a clarity call or get in touch.
- Coaching information: notes from our sessions, and anything you choose to share about your work, wellbeing and life.
- Check-in answers: if you’re a client and choose to send them, your answers about how you’ve been feeling.
- Organisation details: if your organisation books my services, contact and invoicing details for the people arranging it.
- Website information: general information about how people use this website, such as pages visited, collected through Squarespace analytics and cookies.
Some coaching information, including check-in answers, relates to your health and wellbeing. The law treats this as especially sensitive, and I only collect and use it with your explicit agreement.
Why I use it
- To provide coaching: arranging sessions, preparing for them, and tracking your progress. This is needed to deliver what we’ve agreed.
- To support your wellbeing in sessions: using health-related information you choose to share, with your explicit consent, which you can withdraw at any time.
- To reply to enquiries and run my business: answering messages, sending invoices and improving my website. This is in my legitimate interests, and I keep it proportionate.
- To meet legal obligations: for example, keeping financial records for tax.
I never sell your information, and I don’t send marketing emails unless you’ve asked to receive them.
Confidentiality
What you share in coaching stays between us, and I never use AI to record, transcribe or summarise sessions. If your coaching is arranged by your organisation, leadership only hears overall themes, never personal details or individual check-in answers.
The only exception is if I believe you or someone else is at risk of serious harm, or if the law requires me to share information. In that situation I would talk to you first wherever possible.
Who I share it with
I use a small number of trusted services to run my business, and they only process your information on my instructions:
- Squarespace to host this website
- Google Workspace for email, calendar bookings and secure file storage
- My accountant, for financial records only
Some of these providers may process information outside the UK. Where they do, they use legal safeguards approved under UK data protection law.
How long I keep it
- Enquiries that don’t lead to coaching: up to 12 months.
- Coaching notes and check-in answers: up to 12 months after our coaching ends, then securely deleted.
- Financial records: as long as tax law requires, usually six years.
Your rights
You can ask me to:
- see the information I hold about you
- correct anything that’s wrong
- delete your information, where I don’t need to keep it by law
- restrict or stop how I use it
- give you a copy to take elsewhere
Where I rely on your consent, you can withdraw it at any time. Just email esther@estherraphael.com. I’ll reply within one month.
If you’re unhappy with how I’ve handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
